DB Schenker is a global logistics service provider with complex supply chains and diverse business relationships.

In finance and accounting, this results in high demands on data quality, traceability and system integration. Electronic invoice exchange in particular has increasingly reached its technical and organisational limits – while at the same time the format and volume requirements are growing.

Status quo

The manual processing of thousands of invoices with multiple items and attachments was time-consuming and error-prone.

Different ERP systems, various DMS infrastructures and international recipients made the consistency and traceability of processes difficult. A scalable, centralised solution for formats, data flows and interfaces was missing – both to comply with legal requirements and to relieve the burden on IT and specialist departments.

The challenge

DB Schenker needed a solution that could reliably process the enormous volume of invoices in different formats, origins and target systems.

At the same time, tax law requirements such as Section 14 of the German Value Added Tax Act (UStG) had to be met, international standards such as XRechnung or ZUGFeRD had to be integrated and future regulations – such as ViDA – had to be anticipated. The solution had to span all system boundaries and be able to be flexibly connected to existing infrastructures.

The solution

Standardised processing of invoice data was established via a central platform.

Several ERP systems were connected, data flows were consolidated and the precise integration of attachments from different DMS systems was realised. Output channels such as EDI, SAP Ariba or e-mail were designed to be flexibly configurable. The clearing centre ensures transparency, monitoring and targeted user interaction. Future regulatory requirements are already taken into account thanks to the open architecture.

The result

The solution shortens throughput times, reduces DSO values and significantly minimises manual processing work.

Process stability is maintained even for collective invoices with thousands of items. The platform enables rule-compliant invoice creation and audit-proof archiving. At the same time, it can be flexibly expanded – for new formats or recipients, for example – and is therefore future-proof in the long term.
