Gütermann GmbH, headquartered in Gutach im Breisgau, is a leading international manufacturer of sewing threads and textile accessories.
With a clear focus on quality, reliability and innovation, the company supplies customers worldwide. In order to significantly increase efficiency in SAP master data management, Gütermann decided to automate the material master data process with the help of Robotic Process Automation (RPA).
Status quo
The material master data in the SAP system was previously maintained manually – a recurring, resource-intensive and error-prone process.
Around 400,000 material data records had to be updated every month. This effort not only tied up considerable human resources, but also increased the risk of inconsistencies and data errors.
The challenge
Gütermann needed a solution that would automate the regular synchronisation and updating of SAP master data.
The aim was to develop a software robot that works on the basis of defined rules, guarantees maximum data quality and performs reliably without manual intervention. At the same time, the solution had to be seamlessly integrated into the existing SAP production system – without any interruptions or additional work for the specialist departments.
The solution
An RPA solution based on UiPath was implemented in close collaboration with CONVOTIS.
The project started with a structured process analysis and a proof of concept (PoC) to validate the automation. After a successful test run, the software robot was integrated productively. Since then, the bot has updated around 400,000 pieces of material master data within just 2 to 3 hours – rule-based, error-free and fully automated. Compared to the manual process, Gütermann saves around €100,000 a year in labour costs. This was accompanied by employee training, feedback sessions and a structured transfer of expertise.
The result
The introduction of the RPA solution has fundamentally optimised the material master data process at Gütermann.
Manual maintenance has been completely eliminated, data quality has reached a new level and the process runs reliably, quickly and audit-proof. The solution amortises within a very short time and creates additional capacity for value-adding activities. At the same time, it forms a scalable basis for further automation projects within the company.
