Companies that work with information in a structured way are increasingly faced with the challenge of managing unstructured content—such as documents, emails, or files—securely, efficiently, and in compliance with regulations. Traditional file systems or scattered document silos offer neither traceability nor governance. OpenText Extended ECM (xECM) addresses this exact shortfall: as an intelligent content platform, xECM integrates documents directly into business processes—and applies governance rules across the entire document lifecycle.

In combination with leading applications such as SAP, Microsoft 365, or Salesforce, xECM becomes the central hub for document-based processes. The result: increased transparency, automated compliance, and full control over access, retention, and deletion—from the first document to audit-proof archiving.

What is OpenText Extended ECM (xECM)?

OpenText Extended ECM is an enterprise content management platform that connects unstructured content with structured business data. The goal is to make information usable in the context of business processes—such as in procurement, HR, contract management, or project coordination.

Unlike traditional file systems, xECM does not store content separately but links it directly to transactions and datasets from systems like SAP, Salesforce, or Microsoft 365. Documents are automatically classified, versioned, and archived in a legally compliant manner—based on metadata from the process context or rule-based classifiers. This integration creates the foundation for a consistent document architecture: complete digital records that contain both transactional data and relevant documents.

Access rights, workflows, and governance rules are centrally defined. xECM supports on-premises, hybrid, and OpenText Cloud environments and is multi-tenant and scalable. This architecture makes xECM a key component of modern information systems—for transparent, compliant, and process-integrated operations across the entire document lifecycle.

Technical Governance in Document Management

Reducing information governance to mere archiving underestimates the strategic value of technical control and documented traceability. With xECM, comprehensive security and governance mechanisms can be directly integrated into the IT architecture:

  • Role-based access control: Access to documents is governed granularly via user roles. Additional security labels, classifications, and integrations with Microsoft Purview or Azure Information Protection are also possible.
  • Legal holds & disposition reviews: Documents can be automatically locked and made available for legal review or audits.
  • Audit trails: Every access, modification, and version is logged in detail. This ensures full transparency and supports compliance with international standards such as ISO 15489, DoD 5015.02, or SEC 17a-4.
  • Policy engine & automation: Governance is rule-based. Policies for classification, retention, or review cycles are applied starting at document creation—fully integrated into the business ecosystem.

Governance only becomes truly effective when the entire document lifecycle is technically controlled and rule-based.

Lifecycle Management: From Creation to Archiving

A document’s lifecycle begins the moment it is created or captured. In xECM, classification is handled automatically based on metadata from the process context. Templates for contracts, applications, or audit reports can be centrally maintained and generated based on predefined rules.

  • Efficient access: Employees work with documents exactly where they originate—directly within SAP, Salesforce, or Microsoft 365. This eliminates redundant storage and inconsistent folder structures.
  • Retention & deletion: Retention policies are centrally managed and automatically applied to document types. After the retention period ends, the document is converted into a long-term format (e.g., PDF/A) and transferred to certified archive systems such as OpenText Archive Center or InfoArchive.
  • Workflow-based read-&-sign processes: xECM workflows allow read-&-sign processes for compliance documents to be automated and logged in an audit-proof way.
  • Long-term archiving: The entire archiving process remains fully auditable and meets all legal requirements for traceability and immutability.

This results in a consistent lifecycle that combines governance and automation through technology. Especially in compliance-heavy environments, this technical setup becomes a decisive factor for transparency and accountability.

Compliance in Focus: Regulatory Resilience in Critical Areas

xECM reveals its strengths particularly in areas where documents are business-critical—such as HR, legal, procurement, contract management, or quality assurance. In these departments, companies face high pressure to comply with regulatory requirements such as GDPR, HGB, GoBD, or industry-specific retention rules.

The combination of automatic classification, integrated process logic, and technical governance makes xECM the foundation of regulatory resilience—without manual overhead or redundant systems. To implement these requirements sustainably, companies need a platform strategy that intelligently connects processes, systems, and governance.

A Structured Foundation for Reliable Information

With OpenText xECM, information management becomes an integral part of the enterprise architecture. Processes, content, and responsibilities are technically connected and governed by defined rules. The result is a system that ensures transparency and traceability—and CONVOTIS helps companies embed this structure permanently into their IT environments.
